GENERAL TERMS AND CONDITIONS


These general terms and conditions apply between the Tourism Authority of the Municipality of Karlstad (hereinafter, TV) and you who directly or indirectly enter into agreements with TV, as indicated in the confirmation. Such an agreement can relate to accommodations, transport, purchase of other products or services, or a combination of these.

Who is responsible?

The organiser responsible is the Tourism Authority of the Municipality of Karlstad (TV) 651 84 Karlstad, Telephone +46 (0)54-540 24 70, Corp. ID No. 212000-1850. Special terms and conditions may apply for regularly scheduled means of transportation. The booking location is required to ensure that you are made aware of these at the time of booking, that you receive the proper documents of transport, and that you are informed of all significant changes that relate to your booking. If the products are booked through a retailer, that retailer is obligated to ensure that the customer complies with the terms and payment routines of the organiser.

When will my booking become binding?

The booking applies to both TV and you as soon as TV has confirmed the booking.

What, when and who should I pay?

You are required to pay the published price for the booking subject to the addition or the deduction of such changes of taxes and transport expenses that occurred after the printing of the programme. The time and recipient of the payment are indicated in the Special Terms and Conditions.

Credit and debit card payments

You may use cards that are linked to MasterCard or VISA. The entire amount shall be paid immediately.

Security

”3 D Secure” (Verified by VISA & MasterCard SecureCode) is a security technology that VISA & MasterCard have agreed on for the verification of the cardholder in the event of e-commerce. We have fully integrated this technology in our system. This means that when the technology is utilised, an immediate question is electronically sent regarding whether there is a code for the card. The answer in most cases will be negative. However, if the card has a 3 D Secure code, the purchaser is referred to the card-issuing bank, in order to give his or her personal code, in order to continue.

What rules apply in the event I wish to cancel?

You can cancel through the website, www.destinationvarmland.se or phone +46 (0)54-540 24 70 and give your booking number. Your cancellation will not be considered if it is directed to anyone else, or is sent directly to the facility. Please check the booking confirmation for additional information. Your cancellation will not be binding until you have received written (e-mail) confirmation of your cancellation from us. In the event of cancellation, fees shall be applied according to the Special Terms and Conditions.

What applies if I only wish to change something?

If there is an opportunity to make changes to parts of the booking, the Special Terms and Conditions indicate the cost of these. Please note that a change in the date of arrival or departure is deemed to be a cancellation.

What are the rules if something happens to me?

You can protect yourself against cancellation costs by purchasing cancellation insurance. For prices, see the Special Terms and Conditions. Cancellation insurance allows you to cancel without having to pay any fee if the following occurs:
  1. Death, illness or accident of a serious nature affecting you, your spouse or cohabitant, or your or their parents, children, siblings or travel companion.
  2. Notice of conscription into the armed forces or the civil defence.
  3. Any other serious event beyond your control, such as an extensive fire or flooding in your home, which would render it unreasonable to demand that you continue to honour your booking. You are required to substantiate this impediment with the help of certified statements by doctors, government agencies or insurance companies. Certificates received more than seven days after the date of cancellation will not be considered. Cancellation insurance, change or booking fees will not be refunded.

What happens if something goes wrong?

If all or part of your booking cannot be realised in conformity with the booking confirmation, and no alternative arrangements can be made that differ only slightly from your booking and have no significance for you (e.g. hotels or cottages in the same class), you are entitled to cancel. In that case, everything you have paid will be refunded to you, less the value of any parts of the booking that you may have already used. If a transport service or an event that was part of the booking is cancelled on short notice, the refund will apply only to the cancelled event and/or transport service. If you have any complaint, you are required to present it to us within three days of your date of arrival. Errors and defects that arise during your stay must be reported immediately. This should be directed primarily to the hotel or cottage manager, for example. If you have failed to attempt to seek a remedy during the rental period, and therefore deprived the hotel or manager of the opportunity to correct any errors or defects, you may not subsequently demand compensation. If you are nevertheless dissatisfied with the compensation or reimbursement, you are required to present this in writing within 60 days after the date of departure.

What happens if the organiser and I are unable to agree?

Please contact us directly with any complaints you may have. If we cannot agree, you can contact the National Board for Consumer Complaints (Sw. Allmänna Reklamationsnämnden, www.arn.se), which consists of an impartial chairperson and a number of representatives for tour organisers and consumers. As the organiser, we are responsible for ensuring that:

  • You receive a written confirmation of your booking, which you are responsible to check in order to avoid misunderstandings.
  • You receive documents and other information sufficiently in advance.
  • The services purchased comport with the description. We are not responsible for any promises that the owner or the contact person of the owner may have made to you directly, without our knowledge, and which we were unaware of. (If you have agreed on something that is not covered by the agreement with the organiser, make sure that you get it in writing, and signed by the owner or a contact person).
  • You are informed about all significant changes that affect your booking.

What are my obligations?

  • You are required to check the booking confirmation yourself as soon as you receive it. Any defects or errors must be mentioned immediately. Promises by booking personnel that are important to you must be noted in the travel documents, in order to be cited.
  • You are required to comply with the rules of behaviour and instructions that apply to the trip you have booked. You will be given this information at the time of confirmation.

PERSONAL DATA ACT


By paying, you are consenting to having your personal data processed by TV. The purpose of this is to facilitate the customary arrangements for guests, and to ensure that TV has access to reliable personal documentation in the case of accidents, to satisfy the conditions for cancellation insurance, and to manage and treat any injuries. This information may also be used to provide information about insurance and payment services, as well as travel-related offers. The guests can also be contacted as part of market surveys.

Persons wishing information on which information is registered may request this pursuant to §26 of the Personal Data Act. Please inform TV in writing if you wish to correct or remove your information from the customer register.


SPECIAL TERMS AND CONDITIONS

Age limit for booking

You must be at least 18 years old in order to book or sign a contract with us. Regarding accommodations for larger groups, at lease two persons must be at least 18 years old, unless a higher age level is indicated as part of the facility information. Identification is required upon check-in. Compliance with the age requirement is a condition for taking possession of the accommodation.

Payment

Payment in full must be made immediately upon booking.

Cancellation insurance

Cancellation insurance must be purchased at the same time as you make your booking, and applies to all persons named in the booking. Cancellation protection applies only upon the showing of a doctor’s certificate.

Price: SEK 295 per booking

Cancellation costs

(In case no cancellation insurance has been obtained or none applies).

14 days or more before arrival: 10% of the price of the booking.
13-2 days before arrival: 50% of the price of the booking.
Day of arrival or day before arrival: 100% of the price of the booking.
Fees for cancellation insurance and change fee will no be refunded.

Cost of changes

SEK 150 per booking. In addition to this fee, there may be other costs for changing tickets.

Terms and conditions for assignment

Assignment of accommodations and arrangements can take place prior to the day of departure. In the case of transfers of tickets, in those cases where this is permitted by the terms and conditions of the carrier, the carrier must be notified as to the identity of the transferee.

Other terms and conditions for cottage rental

Arrival/Departure
Arrival: No earlier than 3 p.m. on the date of arrival
Departure: No later than noon on the date of departure
Equipment
The cottage is completely equipped for self-catering. Unless otherwise provided, take along your own bedclothes, towels, dishwashing and other detergents and toilet paper.
Cleaning
Upon departure, the cottage must be cleaned, and all equipment used must be washed.
A cleaning checklist will be submitted to the manager of the cottage when the keys are returned.
Miscellaneous
You are expected to take good care of the cottage, and to comply with the regulations and rules of behaviour that apply. As the person who has booked the accommodations, you are personally responsible for all damage to the property or its furnishings or fixtures resulting from your negligence or the negligence of anyone in your company. Any losses of furniture and fixtures, or damage, shall be settled before your departure.

Force Majeure

In the event the travel is unable to take place due to obstacles beyond the control of the organiser, which the organiser could not have reasonably been expected to know about at the time the agreement was entered into, and the consequence of which the organiser could not have reasonably avoided or overcome, the organiser shall be exempt from any obligation to pay damages or from other sanctions. The same applies even in cases where the cancellation of the travel is due to someone the organiser retained, or others involved at an earlier stage.

We are not liable for amendments of the law and changes in prices that are beyond our control.
